Bag Material Traceability: Connect the Approved Swatch to the Order

Bag Material Traceability: Connect the Approved Swatch to the Order

A material name is not enough to connect a finished bag to the sample you approved. For a custom bag project, ask how the material reference, incoming batch and production order will be identified. The depth of traceability should be agreed with Weierken for the project rather than assumed from a factory photograph.

Keep identification separate from compliance evidence

Start with the material code, color reference, construction and intended application. A fabric for the exterior and a lining used inside the bag may need different identification. If a supplier offers an alternative, give it a new approval record instead of treating it as the same material because the color looks similar.

A batch reference helps connect records, but does not by itself prove a compliance claim or a performance result. If a report is needed, check its subject, tested material and scope against the intended use. Ask which document applies to the actual project and whether additional verification is required.

A worked brief you can adapt

Illustrative purchasing worksheet — not a completed customer order or a performance promise
Decision Example brief Evidence to request
Approved exterior Material M01, navy reference N02 Labeled retained swatch
Incoming material Batch B example linked to M01 Receipt record and agreed incoming checks
Production order Specified material allocated to order Order-to-material reference
Substitution Alternative material proposed Separate review before release

Turn the review into an actionable request

In this example, a supplier changes the backing while keeping the surface appearance similar. The relevant question is not only whether the color matches: ask what changed in the material specification and which construction or verification decisions need review. Keep the substitution pending until its effect is understood.

For Weierken projects, include the traceability records you need in the purchasing brief. A buyer requiring retained swatches or lot references should request them before production starts, not after a complaint when the original packaging and labels may no longer be available.

For the connected specification, use our TPU material specification worksheet. Send the completed brief through the Weierken project inquiry form, including your company, work email, phone, product and quantity. Ask for any unresolved item to be listed separately in the reply; a proposal is not an approved production instruction.

Frequently Asked Questions

Does a material code prove that every bag has been tested?

No. Identification, incoming checks and finished-product testing are different records. State the required verification and sampling arrangement separately.

Can we request a material change after sample approval?

Yes, but treat it as a change request. Review the effect on appearance, construction, pricing and any relevant evidence before authorizing the replacement.
