Reporting a Bag Quality Issue: Photos and Records That Help the Factory Investigate

A useful quality report shows what happened, which product is affected and what evidence is available. It does not begin by guessing the cause. If you need Weierken to review an issue, send a structured record that connects the bag to the order and the conditions in which the problem appeared.

Capture the whole product before the close-up

Take a full-bag photograph, then a medium view locating the area, followed by a clear close-up. Include the product reference and a scale where size matters. Keep the original files and avoid filters that change color or conceal texture. Do not include customer personal information in shared images.

State how many units were checked and how many showed the issue. Distinguish a single reported case from a systematic inspection. Describe the load, handling and timing factually; if they are unknown, write “not recorded” rather than filling in assumptions.

A worked brief you can adapt

Illustrative purchasing worksheet — not a completed customer order or a performance promise
Decision Example brief Evidence to request
Identification Order and bag revision recorded Label photo and order reference
Observation Loose stitch near a named attachment Whole-bag view plus focused close-up
Extent Two observed units from ten checked in example Inspection record and sample selection
Disposition Affected units held for review Requested response and retained samples

Turn the review into an actionable request

In the illustrative two-of-ten example, the proportion describes only those ten checked units. It is not automatically the defect rate of the entire shipment. Ask what further examination is needed before drawing a wider conclusion or deciding the disposition of unaffected goods.

Send Weierken the evidence pack and a clear request: technical investigation, clarification of specification, or a proposed corrective action. Any replacement, repair or commercial remedy depends on the agreed terms and investigation. Keep the initial observation separate from the eventual cause and action so the record remains auditable.

For the connected specification, use our finished-bag inspection checklist. Send the completed brief through the Weierken project inquiry form, including your company, work email, phone, product and quantity. Ask for any unresolved item to be listed separately in the reply; a proposal is not an approved production instruction.

Frequently Asked Questions

Should we discard damaged samples after taking photos?

Retain representative samples when safe and practical until the parties agree what evidence is needed. Photographs may not show internal construction or the full cause.

Does submitting a report automatically approve a warranty claim?

No. A report starts the review. Record the agreed terms, evidence, findings and disposition separately rather than assuming a particular remedy before investigation.
