A sample is useful only if it arrives with enough information for the buyer to review it. For a Weierken development project, plan the sample contents, recipient and approval meeting together. The courier booking alone does not complete the sample handover.
Define what the shipment is intended to prove
Decide whether the sample is for structure, material, branding or a combined review. If it contains temporary hardware or an unapproved color, state that on the sample record. Otherwise, a colleague opening the parcel may approve a substitute without knowing that it is temporary.
Confirm the receiving company, contact phone, full address and any local delivery constraints before dispatch. Keep the review deadline distinct from the requested arrival date. Transport estimates and customs handling are not a guaranteed approval schedule, and the buyer may need time to assemble the intended test load.
A worked brief you can adapt
| Decision | Example brief | Evidence to request |
|---|---|---|
| Sample S03 | Structure review; logo still provisional | Revision label attached to sample |
| Parcel contents | Bag, strap, swatch and drawing copy | Photographed contents checklist |
| Receiving contact | Named buyer-side reviewer | Confirmed address and contact details |
| Review meeting | Check loading and access after arrival | Consolidated feedback owner and date |
Turn the review into an actionable request
A practical handover consists of a parcel list and a short digital pack carrying the same sample ID. Include the drawing revision, open issues and the review checklist. Send a readable copy before arrival so the reviewer can prepare containers, equipment or comparison materials.
Ask Weierken to identify anything that cannot be demonstrated by this particular sample. If the prototype uses temporary components, the next approval should explicitly close those exceptions. Keep the courier receipt as delivery evidence, separate from the buyer’s technical acceptance.
For the connected specification, use our sample approval checklist. Send the completed brief through the Weierken project inquiry form, including your company, work email, phone, product and quantity. Ask for any unresolved item to be listed separately in the reply; a proposal is not an approved production instruction.
Frequently Asked Questions
Does signing for the parcel mean we have approved the sample?
No. Receipt and approval are separate records. The named reviewer should document accepted items, requested changes and outstanding evidence after inspection.
Can different departments review one sample?
Yes. Agree a sequence and a single feedback owner. Avoid separate contradictory instructions being sent to the factory after different departments handle the same sample.
