A sample discussion can quickly spread across drawings, photos and messages. If each person works from a different version, even a small change can be missed. A simple revision record keeps the bag design, approved sample and production instructions aligned.
Identify each sample clearly
Give the sample a model and revision reference. Record when it was made and which drawing, materials and artwork it uses. If a temporary component was used, identify it before review. Otherwise a buyer may approve an appearance that the final material will not reproduce.
Turn comments into specific changes
Replace comments such as make it better with an annotated instruction. Mark the affected area, describe the proposed change and state the reason. Keep aesthetic preferences separate from functional or measurement requirements so the development team knows what needs verification.

- Drawing or photograph showing the location.
- Person responsible for checking the result.
- Decision, date and resulting approved revision.
Review interactions between changes
A larger pocket may affect a carry attachment. Another liner may change usable space. Moving artwork may put it across a seam. Ask the factory to review connected details rather than treating every comment as an isolated cosmetic edit.
Close the review before production
The final approval should identify the sample and all supporting files that control the order. Mark obsolete versions as superseded, while retaining them for traceability. Do not leave a production team to reconstruct the latest decision from a long message history.
If a change is requested after approval, record its effect on the sample, verification, quotation and schedule before accepting it. No universal lead time is implied by this process. The useful outcome is a documented decision about what changed and whether the previous approval still applies.
For repeat orders, compare the new request with this approved package. A new logo, fabric or accessory should be treated as a recorded variation, not as an invisible amendment to an old purchase order.
